So besides sharing with you latest exhibitions and events around Asia, we will be also sharing with you the latest event management tips and strategy.

The Fundamental of Event Management

Let me begin today by discussing the fundamentals of event management.

Organizing an event or exhibition involves  a great amount of work done. Event management begins from the planning stage where plans are drafted and amended to suit the objectives and goals of the event to the actual day of the event where a great deal of coordination work are done, and then lastly the post event evaluation stage to measure the effectiveness and success of the event and how to improve it and prepare for a better event. We normally classify event management process into 3 stages which are :

1. Pre - Event
2. Event
3. Post Event (EVALUATION)

Pre-Event
Every event begins with an idea, so the Pre-Event stage begins with formulating ideas, objectives and goals of the event. Research at this stage is extremely important. Some question you could ask yourself are :

1. What is this event all about?
2. Who are you targeting?
3. What is so unique about this event?
4. What can this event cater for?
5. What are the benefits of this event?

There are many more question to consider before formulating objective and goals for the event.
After identifying the objectives and goals of the event, next is the MESSAGE part. Questions like What will be the core message of the event? What do we want our target market to take home after  the event?

Next part of Pre Event process is Advertising & Promotion stage where marketing and design team work together closely to formulate a Advertising campaign for the event. The advertising campaign at this stage is important because it will help attract the target market over to the event. Base on the target market, advertising channels are plan out according to both the demographics and psychographics. A checklist is made before the event day to ensure everything is smooth sailing. Back up plans are well plan just in case something goes wrong, we are prepared to change the plan to plan B. A rule of thumbs - Always be Proactive. Prepare for the worst and expect for the best.

Event Day
Every successful event is due to great preparation. Rehearsal after rehearsal, comes the actual day of the event. As usual, always be proactive during the event day itself. The function of the events manager is to keep track of the event program flow, making sure it is followed accurately. Shall there be any unforseen circumstances, we must not react to it but in fact we must response to it proactively.

Post Event (EVALUATION)
Normally it is best to conduct Post Event 1 day after the event where everything is still fresh in our mind. This stage is also called evaluation stage, it is to evaluate whether the event organized was executed well and did the overall of the event meet the objectives and achieve the goals of the event. Some will measure whether there was any Return of Investment (ROI) and Return of Objectives (ROO). This stage is important because we get to identify the weakness of the event and strength of the event. To acknowledge both is essential so that we know what works best and what work least. It is great to improve on the weakness and come out with a better event in future.
The common question is - What can we learn from this event? How can we improve this event.

See after the post event is done, the cycle continue again from Pre - Event to Event Day and then to Post event again.

Now you see the big picture of event management.
